Where do I send medical records?

Mail all medical records, diagnostic studies and other evaluation related materials (including video tapes, disks, etc.) to the Medical Systems corporate office at:  Medical Systems, 205 Bishops Way, Suite 205, Brookfield WI  53005-6220. Click here to securely upload medical documentation, or you may use Case Tracker® to upload records directly to your case.  You may also fax documentation to 262-784-3808.  If none of these options work for you, or if you need records copied, just call 800-261-3278 and we will make pick-up and/or copy arrangements for you.   

Do you offer medical records copy and/or pick up service?

Yes we do!  Just call us at 800-261-3278 and we will be happy to make arrangements to copy and/or pick up records from your location.

Do I need to send actual diagnostic films?

Most doctors actually prefer to view the written reports, and some will not view films.  If you prefer that an evaluating doctor view the actual films, please feel free to send them to Medical Systems at 205 Bishops Way, Suite 205, Brookfield WI  53005-6220 and we will make sure the doctor receives them in a timely fashion.

How should I organize (sort) case documentation?

As each doctor has their own specifications for documentation, Medical Systems organizes records for you at no extra charge.  So there is no need for you to take the time organize; simply send your records with no staples or paperclips and we will do the rest.

What is your late cancellation policy for IMEs?

In order to avoid charges, the Medical Systems corporate office must be notified of the cancellation three (3) full business days prior to the scheduled IME date, and five (5) full business days for traveling doctors. Notification of cancellation received on weekends or after normal business hours (8AM-5PM CST) will be calculated from the next business day.  Notifying the doctor directly of a cancellation is not acceptable.  Notification of cancellation will only be accepted from the referring source. 

Standard Late Cancellation charges differ by state and can vary greatly depending upon the doctor you have selected. Some doctors charge the full IME rate for late cancellations.  Please refer to the confirmation letter you received when scheduling the case for specific information related to the state the IME was scheduled in or contact a Medical Systems representative.

Can I use Medical Systems even if I used a different vendor for the previous IME?

Yes!  Medical Systems schedules cases every day that were originally scheduled through other IME vendors.  We even take cases from clients who are displeased with their current vendor and wish to transfer active cases.  If we have an established relationship with the doctor, we will keep the same timeslot and just switch everything over to us.  If you would like to transfer a case and need our help, just click here.  Our well-trained staff makes the transition between other IME vendors and us seamless for our doctors and our clients.  The only thing noticeable to everyone is our outstandingly superior service!  

What if I don't see a doctor on your list that I would like to use?

Medical Systems has a Doctor Recruitment Specialist on staff who is designated exclusively to locating and recruiting doctors for our clients.  We can get almost any doctor you desire!

Are all Medical Systems doctors in active practice?

Approximately 98% of Medical Systems doctors have an active practice in their chosen area of specialty.  If you would like to use a doctor who is currently engaged in active practice, please let us know at the time of scheduling.

Do any Medical Systems doctors work exclusively with you?

No.  At Medical Systems we believe it is not in your best interest for us to have exclusive arrangements with any doctors performing IMEs.  In fact, we actively encourage all our panel members to establish working relationships with other vendors.  The fact is, if a doctor works for only one IME vendor, they are considered by state government to be employed by that IME vendor.  Even an implied employment relationship between a doctor and an IME vendor can destroy the credibility of an IME report, because it can no longer be considered independent. 

Do you provide access to the doctors if needed?

Yes.  Just let us know, and we will set up a time for you to conference with the evaluating doctor.

Will the consulting doctor be available for video depositions or live testimony?

Many, but not all, of our doctors will perform video depositions and/or live testimony.  If this is a requirement, please notify a Medical Systems representative at the time of scheduling. 

Will the consulting doctor discuss his opinions with the examinee at the time of the independent medical evaluation appointment?

All Medical Systems doctors are instructed not to discuss their opinions with the examinee.  They are specifically told to communicate to the examinee that they need to contact the referring source for a copy of the written report.

Will you send a mileage check to the claimant on my behalf?

Yes.  Please just let us know you would like to take advantage of this service at the time of scheduling and we will be happy to send a mileage check with our confirmation letter to your claimant.  The mileage charge will appear on your bill for service.
   
Is the draft report preview option unethical?

No.  The purpose of the draft report preview is to make certain all of your questions have been adequately addressed by the doctor, and opinions have been satisfactorily explained; it is not a venue to change the doctor's opinion.  The report is the doctor's work product, so if any changes are requested, they are requested of the doctor.  The important distinction here is that the doctor is the one controlling this process, not the client, and not Medical Systems.  This is precisely what makes the draft report preview option completely ethical and moral.
